Background
Rowan is a West Midlands based engineering company specialising in precision CNC turned parts for a range of industries.
Following a rigorous selection process, the company chose to adopt HubSpot as its CRM system and Wellmeadow to onboard and develop the system to suit their needs and to train the users.
One of the key requirements was the ability to link HubSpot to the data held by the existing ERP system, based on a Microsoft SQL database, stored on servers 'on-premise'.
Whilst there are many existing apps to connect HubSpot to other cloud-based systems, connecting to an on-premise system is more complicated.
Wellmeadow developed a low-cost solution which can sync in both directions and keep HubSpot up to date. As a result, customers can be automatically emailed with production updates when the Production Plan changes.

How we helped
HubSpot has a very powerful API - a back door in to the database which programmers can use to read and write data.
To link to data that is held on a local network, you need to have a program resident with access to the data which can then send the API commands to HubSpot. In order to make this robust and supportable, we developed a solution using Microsoft's automation products. This is a very cost-effective solution for companies already familiar with the Microsoft Office 365 suite.
As a result, the local data can be polled frequently, checked for recent updates, and then when required commands sent to HubSpot to update the relevant deal records with the latest production dates and status.

As a result of the syncing solution, Rowan can now get HubSpot to send emails, triggered by workflows, to update customers on their orders. Hubspot users can also see updates on the progress of closed deals without switching systems.
