HubSpot Adaption

HubSpot rarely works alone. Wellmeadow connects it to the systems your business actually runs on be it ERP, finance, quoting, or operations. We help build the bespoke processes that off-the-shelf configuration can't. The result is one connected commercial system, not a CRM sitting beside a business it can't see into.

Approach
Adaptation is where HubSpot stops being a CRM and becomes part of the operating model. Our starting point is the flow of information through your business: where an order originates, where it's fulfilled, where it's invoiced, and what the board needs to see at each point. Only then do we design the integration and process work to match.

We're deliberately cautious about building for its own sake. We know every bespoke process has a maintenance cost, and the right answer is often a standard HubSpot feature configured well. But where your business genuinely runs differently (e.g. complex quoting, multi-entity structures, regulated workflows, manufacturing lead times), we build precisely what's needed, documented and owned. The commercial logic always comes first; the technology serves it.

Who needs it
Businesses whose commercial reality doesn't fit a standard CRM template. Common cases: manufacturers who want customer/deal data to flow into their ERP; businesses looking to move deal information into Sage or Xero; groups where finance, operations and sales run on separate systems that don't talk to each other; and any business where the board wants a single source of the truth in the CRM.

It's particularly valuable where a HubSpot activation has exposed the gap. For example, the pipeline is clean, but invoicing, stock, project delivery or customer history live elsewhere. And for PE-backed businesses, it's often the difference between a CRM that reports activity and one that reports revenue the board can reconcile to the management accounts.

When do you need it
Adapt typically follows activation, once the core platform is stable and the gaps are visible. Building integrations onto a badly-structured portal simply automates the mess, so we'll usually recommend sequencing this after the foundations are right.

Natural trigger points include:

  • The CRM and the finance system disagree on revenue

  • Sales quoting happens outside HubSpot, in spreadsheets or a separate tool

  • Order, project or fulfilment data needs to be visible to commercial teams

  • A new ERP or accounting platform is being implemented or replaced

  • A bolt-on acquisition runs on different systems that need to connect

  • A process is being run manually because "HubSpot doesn't do that"

  • The board wants a single view that reconciles pipeline to actuals

The principle: integrate once the model is agreed, and only where it changes a decision.

How it works
We begin by mapping the systems landscape and the data that needs to move. That produces a clear specification before any development starts, so scope and cost are known.

Integrations are built using the most robust available route: native HubSpot connectors where they exist, established middleware where they don't, and custom API development only where the business case justifies it. Bespoke processes are designed in HubSpot using custom objects, workflows, calculated properties and quoting tools — always documented, always tested against real data.

Throughout, Dave and Rich oversee the design decisions and our delivery team builds and tests. We involve your finance and operations leads directly, because an integration that IT signs off but finance doesn't trust is worthless. Every build ends with validation against source systems and a handover that includes the documentation to maintain it.

What you get
A connected commercial system with the bespoke processes your business actually needs. Depending on scope:

  • Systems and data map — what connects to what, in which direction, with ownership

  • Integration specification — agreed before build, so cost and scope are fixed

  • ERP/finance integration — Sage, Xero, NetSuite, Dynamics or equivalent connected to HubSpot

  • Bespoke process build — custom objects, workflows, quoting and calculated logic for your specific model

  • Data reconciliation — CRM revenue validated against source systems

  • Reporting extension — dashboards that include operational and financial data, not just pipeline

  • Technical documentation — every integration and custom process written up for maintenance

  • Handover and support — the first cycle covered so issues surface while we're still on hand

The benefit
The biggest benefit is a single version of the truth. When HubSpot reconciles to your finance system, the board stops debating whose numbers are right and starts debating what to do about them. Commercial teams get context they never had such as stock, lead times, delivery status, and customer history, inside the tool they already use.

Operationally, manual re-keying disappears, along with the errors and delays it causes. Strategically, the revenue platform becomes something an acquirer can audit: pipeline that reconciles to revenue, revenue that reconciles to accounts.

The end state: HubSpot as the connected commercial layer of the business, not a standalone sales tool.

The Wellmeadow Model

Part of a wider approach to growth.

HubSpot Adaption is one part of the wider scale-to-sale model, designed to help businesses integrate HubSpot into their existing processes.

Improving data flows between your tech stack can help drive better and quicker decisions.

Our team helps you map out the data flows, design and build HubSpot processes, and where required, build the custom APIs and integrations to help drive productivity.

Activate builds a clean HubSpot foundation; Adapt connects it to the systems your business actually runs on, so the CRM reflects real commercial logic. Without it, Adopt is embedding a system that can't see the whole business.

INDICATIVE INVESTMENT

Designed to get HubSpot integrated into your business software and processes.

We have worked with clients to help build complex, automated business processes within HubSpot.  We have integrated HubSpot into MS Dynamics, Business Central, SAP, plus a load of custom ERP platforms. No one integration or process is the same. If you've got an integration idea or question, get in touch.

Every Adapt engagement starts with a scoping phase.

Our goal is to understand the problem you're actually trying to solve, the technical constraints on both sides (ERP, finance system, existing HubSpot setup & licensing), and what a workable integration or process design would need to look like.

For a single, well-defined integration this is typically a day. For anything spanning multiple systems, several business units, or genuinely bespoke process design, it usually runs longer. We'll scope the scoping, so to speak, once we understand the shape of the problem, rather than quote a fixed day count blind.

Indicative Investment

Once scoping has defined what's needed, we design and build the integration or bespoke process itself.

This may involve connecting HubSpot to ERP, finance or operational systems, or configuring the custom objects, workflows and logic your commercial model actually requires.

Investment here depends entirely on complexity: a single native integration is a different project from a multi-entity data flow or a fully bespoke quoting process. We price this against the specification agreed in scoping exercise.
